As an Associate Material Specialist , you will be an essential member of the Engineering Services Integration (ESI) team under the Facilities and Operation Support (FOS) line of business at Walt Disney World (WDW). In this role, you will be a key contributor to the Central Purchasing team, ensuring timely and accurate processing of orders for spare parts, replacement components, and essential services across property.

Responsibilities include processing and coordinating orders, researching issues, tracking shipments, and expediting material and service requisitions for FOS and other related lines of business. Additional responsibilities include creating purchase orders, processing and tracking invoices for payment of material purchases through SAP, Coupa, and Maximo, as well as handling service requests. Finally, the role includes generating reports on items such as committed costs, vendor purchases, and outstanding purchase orders.

You will report to the ESI- Central Buying Team Inventory Manager .

What You’ll Do
  • Coordinate, process, and expedite material and service requisitions for FOS and related business lines.
  • Create purchase orders in Coupa and manage invoice processing through SAP, Coupa, and Maximo.
  • Track and reconcile orders, resolve issues, and ensure timely payment for materials and services.
  • Support problem-solving and research for procurement-related challenges.
  • Generate reports on committed costs, vendor purchases, and outstanding purchase orders.
Required Qualifications & Skills
  • Experience processing timely and accurate financial transactions while handling highly confidential information.
  • Experience performing administrative responsibilities relating to the procurement process, including coordinating support at WDW Resort.
  • Excellent written, verbal, and interpersonal communication skills, including clean grammar and strong proofreading experience.
  • Highly organized, with strong attention to detail and accuracy.
  • Demonstrated computer proficiency within Windows-based environment with an emphasis in Outlook, Word, Excel, Teams, as well as SharePoint, Coupa, and Maximo.
  • Solid understanding of analytics and how they impact business.
  • Experience regularly partnering with internal teams including Accounts Payable, Engineering Services, Sustaining & Back of House Engineering, Finance, Sourcing & Procurement, Disney Vacation Club, Walt Disney Imagineering, Operating Participants, etc.
  • Ability to handle multiple tasks/priorities with a sense of urgency in a fast-paced environment.
  • Comfortable interacting with all levels of leadership.
  • Proven knowledge and understanding of WDW policies and procedures, including role-specific guidelines such as Quality Assurance and Procurement Guidelines for Material Controls.
  • Background managing multiple work streams and making quick, smart decisions on how to prioritize competing needs.
  • Ability to work a flexible schedule, including overtime, holidays, and weekends.
Preferred Qualifications
  • Experience in procurement and purchasing.
  • Experience in Coupa, Maximo, and SAP.
