Personal Assistant / Executive Assistant

📍 Miami, FL (Hybrid Primarily Remote with On-Site Support 12x/Week)

About the Founders

William and Alexis are two high-performing entrepreneurs leading multiple ventures including Ecom Degree University , a leading online education company helping individuals build profitable e-commerce businesses, and a growing health insurance agency serving clients across the U.S. They are seeking a proactive, detail-oriented, and highly organized Personal/Executive Assistant to bring clarity, structure, and efficiency to their fast-paced personal and professional lives.

The Role

This is a hybrid position blending both personal and executive support. Youll handle a variety of administrative, scheduling, and coordination duties that ensure both founders can operate smoothly and focus on strategic priorities. The ideal candidate is highly dependable, tech-savvy, and thrives on anticipating needs before being asked.

Youll work closely with both William and Alexis, alternating between remote administrative work and occasional in-person errands or logistics support around Miami.

Key Responsibilities

Executive & Administrative Support

• Manage complex calendars, appointments, and daily schedules.
• Monitor and organize inboxes; draft and send correspondence as needed.
• Prepare meeting reminders, reports, and follow-ups.
• Coordinate travel, accommodation, and itineraries (domestic & international).
• Track expenses, receipts, and reimbursements.

Personal & Household Support

• Book personal appointments (grooming, fitness, wellness, etc.).
• Coordinate with household vendors and service providers (cleaners, maintenance, deliveries).
• Assist with errands, groceries, and online shopping.
• Manage personal and family calendars to ensure seamless scheduling.

Business Support

• Support with light project management tasks, follow-ups, and reporting.
• Maintain documentation and ensure clarity across all ongoing initiatives.
• Act as liaison between founders and business partners, contractors, or vendors.

What Success Looks Like

After 612 months, youll be fully integrated as the founders right hand anticipating needs, organizing priorities, and ensuring that both personal and professional operations run like clockwork. Youll introduce structure and processes that simplify their lives and enable them to stay focused on business growth.

Qualifications

• 23+ years in an Executive Assistant, Personal Assistant, or Operations Coordinator role.
• Experience supporting entrepreneurs, executives, or high-performing individuals.
• Strong command of English; Spanish is a plus.
• Advanced proficiency in Google Workspace (Calendar, Sheets, Docs, Drive).
• Excellent time management and problem-solving skills.
• Comfortable balancing both business and personal tasks.
• Location: Miami, FL (hybrid remote + occasional on-site)
• Hours: 8:00 a.m. 6:00 p.m. EST (must be available and responsive after hours as needed)
• Compensation: $65,000$80,000 per year (based on experience)
• Contract Type: Full-Time (1099)
• Start Date: Immediate
