Job Description

Records Clerk – Planning & Development City of Phoenix is seeking a Records Clerk to support the Planning and Development Department (PDD) in the Management Services Division. The Records Clerk will provide front‑counter customer service, support records management, process public records requests, and maintain construction plans and supporting documents. Key Responsibilities Serve the public at counter, phones, and email by assisting customers with research requests involving KIVA, SHAPE, OnBase, and GIS Mapping System Respond to public record requests assigned by City Manager's Office Prepare, scan, and index construction plans and supporting documents Process payment and receipt for copies, Historic Preservation books, and change of records affidavits File and retrieve electronic records Purge records according to the Records Retention Schedule Research and cross‑reference documents Archive records management Perform all duties rapidly and accurately Ideal Candidate Strong customer‑service skills in a public counter environment Ability to learn technologies used to manage a large central records system Capacity to work in a fast‑paced environment with multiple competing priorities Strong attention to detail when reviewing documents for completeness and accuracy Advanced computer skills, including proficiency in Microsoft Outlook, Excel, and Word, and data entry skills Familiarity with various types of building plans Salary Pay Range: $18.60 to $27.49 per hour. Hiring Range: $18.60 to $21.54 per hour. Pay Range Explanation The pay range is the entire compensation range for the position classification. The hiring range is an estimate of where you can receive an offer. The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, education, licenses, training, and internal equity. Other combinations of education and experience that meet the minimum requirements may be substituted. All finalists for positions are subject to a criminal background check applicable to the department or position. Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license, and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or does not have personal insurance coverage. Information regarding pre‑screening and driving positions is available upon request. Preferred Qualifications Experience providing customer service in person in a front counter environment and over the phone. Experience entering information into a database and records‑management tasks. Experience sorting, scanning, and researching construction plans and supporting documents. Experience processing Public Records Requests. Cash handling and balancing experience. Experience working with OnBase and KIVA. Experience using Electronic Document Management System. Experience with records retention and destruction policies and procedures. Ability to lift items weighing up to 20 pounds or less, such as mail, supplies, and files.
